This policy explains how Futurion Marketing Ltd ("we", "us") collects and uses personal data when you visit our website, submit a form or become a client. We are the data controller for that information.

2. What personal data we collect

We collect only what we need to answer your enquiry and provide our services.

Contact details — name, company name, email address and phone number.
Enquiry details — the service you are interested in, your message, current supplier and approximate spend.
Complaint details — the information you provide in a complaint form, plus the reference we issue.
Assistant conversations — messages you send to our AI assistant and any details you choose to share with it.
Technical data — IP address, browser user agent and the page you submitted from, recorded for security and fraud prevention.
Client documentation — where you become a client: bills, meter numbers (MPAN, MPRN, SPID), merchant statements and contract paperwork.

We do not knowingly collect special category data, and we do not collect data from children. Please do not send us sensitive personal information through the website forms.

Consent — for marketing emails and non-essential cookies. You may withdraw consent at any time.
Contract — to take steps at your request before entering a contract, and to perform the services you engage us for.
Legitimate interests — to operate and secure our website, respond to business enquiries and improve our services, balanced against your rights.
Legal obligation — to keep records required by law and to comply with regulatory requirements.

We share personal data only where it is necessary, and only with:

Suppliers and funders you ask us to obtain quotations from, or place a contract with — for example energy suppliers, water retailers, waste carriers, payment providers and lenders.
Service providers who support our business under contract, including our hosting provider, our email provider, our database provider (Supabase) and, where the AI assistant is used, OpenAI for generating replies.
Professional advisers and authorities where we are legally required to disclose information.

Some providers may process data outside the UK. Where they do, we rely on UK adequacy regulations or the International Data Transfer Agreement / Addendum to ensure your data receives equivalent protection.

6. How long we keep your data

Enquiries that do not proceed — up to 24 months.
Client records — for the life of the contract plus 6 years, to meet accounting and limitation-period requirements.
Complaints — 6 years from resolution.
Marketing consents — until you unsubscribe, plus a suppression record so we do not contact you again.
Security logs — typically 12 months.

7. How we protect your data

The website is served over HTTPS and all form submissions are encrypted in transit. We apply CSRF protection, input validation, output escaping and rate limiting to our forms. Data is stored with access controls and row-level security, and access is limited to staff who need it to do their job.

8. Your rights

Under the UK GDPR you have the right to:

Request a copy of the data we hold about you
Have inaccurate data corrected
Request erasure, where no overriding obligation applies
Restrict or object to processing, including direct marketing
Data portability, where processing is based on consent or contract
