Managing Utilities Across Multiple Sites Without Losing Your Mind
Consolidation, aligned end dates and portfolio tendering — how multi-site operators turn utility admin from a burden into a lever.
One site with an energy contract is an admin task. Twenty sites with twenty contracts on twenty different end dates is a full-time job — and an expensive one if nobody is doing it.
Step one: build the asset register
You cannot manage what you have not listed. For every site, record the supply numbers (MPAN, MPRN, SPID), the current supplier, the contract end date, the unit rate and the standing charge. A single spreadsheet is enough to start. Most operators find at least one supply they did not know they were paying for.
Step two: align your end dates
Staggered end dates mean you are permanently negotiating, always at whatever the market happens to be doing that week, and never with the combined volume of the whole portfolio. Short bridging contracts can bring sites into alignment so that from then on you tender once, annually, as one block.
Step three: tender as a portfolio
Aggregated volume changes the conversation with suppliers. A basket of twenty sites is a materially more attractive prospect than a single shop, and the pricing usually reflects that.
Step four: consolidate the billing
One invoice covering every site, with a per-site breakdown, removes an enormous amount of finance-team overhead — and makes anomalies visible. When site 14 suddenly consumes 40% more than site 15 in the same format, you notice.
Step five: validate, continuously
Across a large portfolio, small billing errors add up quickly. Automated validation against contracted rates catches the estimated reads, the wrong standing charges and the supplies still being billed after a site closed.
The compounding effect
None of these steps is dramatic on its own. Together, over a full portfolio and a few renewal cycles, they typically represent the difference between utilities being a cost you absorb and a cost you control.
