Choosing the Right Card Machine for Your Business
Countertop, portable or mobile? Flat rate or interchange-plus? A practical comparison of the UK card machine market.
There is no single best card machine. There is only the machine that fits how your business actually takes money — and the pricing model that suits your transaction profile.
Start with the form factor
Countertop
Plugs into power and connects by ethernet or Wi-Fi. Sits by the till and never moves. Ideal for shops, pharmacies and anywhere the customer comes to you.
Portable
Connects to a base station over Bluetooth or Wi-Fi and works anywhere on the premises. Essential for restaurants and bars where you take payment at the table.
Mobile
Uses a built-in SIM to work anywhere with signal. The right choice for tradespeople, market traders, delivery drivers and mobile therapists.
Then understand the pricing
Flat rate. One percentage on every transaction regardless of card type. Simple and predictable. Typically best below roughly £5,000 a month in card turnover.
Interchange-plus. You pay the true scheme cost plus a fixed, disclosed markup. More line items on the statement, but almost always cheaper at higher volumes.
Blended. Different rates for debit, credit, commercial and international cards. Requires reading the small print carefully.
The costs people forget
- Terminal rental — usually monthly, sometimes on a long minimum term
- PCI DSS compliance fees, and non-compliance penalties
- Minimum monthly service charge if you fall below a turnover threshold
- Authorisation fees charged per transaction on top of the percentage
- Chargeback handling fees
- Early termination charges
A headline rate that looks excellent can easily be beaten by a slightly higher rate with none of the above attached. Always compare the total monthly cost.
Settlement speed matters more than most people expect
Standard settlement is typically three working days. Some providers settle next day including weekends; a few settle instantly. If your business is tight on working capital, faster settlement can be worth more than a small saving on the transaction rate.
Matching provider to business
- Busy hospitality: speed of authorisation and next-day settlement
- Market traders and mobile services: built-in SIM and instant settlement
- Independent retail: no long contract, transparent flat pricing
- Multi-site and hotels: consolidated reporting and PMS integration
- Online plus in-store: one omnichannel merchant account
- Sole traders: pay-as-you-go with no monthly fee
